The Fortnox integration sends your Understory bookkeeping straight into your Fortnox ledger — bookings, refunds, payment fees and gift cards are posted as vouchers automatically, so you don't have to re-enter anything. This article covers how to connect the two systems.
Note: The Fortnox integration is currently in beta, which means you have to contact us in the chat to have it activated on your account.
What you need before you connect Fortnox
An active Understory Pay account — Accounting is only available to businesses using Understory Pay.
The Accounting product activated on your Understory account. If it isn't active yet, reach out to us in the chat.
Permission to manage accounting in Understory — if you can't see the Accounting menu, ask an admin on your team.
A Fortnox account where you are a system administrator. During setup, Understory creates a service account in Fortnox, and only a system administrator can approve that. If you're not one, ask whoever administers your Fortnox account to complete the connection with you.
How to connect Fortnox
Go to Accounting in the left menu — the Accounting page opens.
Open the Settings tab — you'll see the Integration section, which is where your accounting software is connected.
Click + Integration — the Add integration dialog opens.
Select Fortnox and click Connect — your browser leaves Understory and opens Fortnox.
Log in to Fortnox as a system administrator and approve the access — Fortnox asks you to approve access to bookkeeping, company information, inbox, cost centers and projects. Understory needs all of them to post your vouchers.
Approve the final step back in Understory — you'll briefly see Preparing Fortnox integration… followed by one last approval screen.
Check that it worked — you land on the Fortnox setup page and a message confirms Fortnox is now connected.
Complete both approval steps in one go. If more than an hour passes between approving in Fortnox and finishing in Understory, the connection expires and you'll need to start again from step 3.
Once you're connected, nothing syncs yet — you need to tell Understory which Fortnox accounts to post to. See Set up your Fortnox accounts in Understory for that step.
What the connection statuses mean
On Accounting → Settings, the Fortnox row shows you where things stand:
Connected — everything is set up and your entries are syncing.
Missing account setup — Fortnox is connected but your accounts aren't mapped yet, so nothing is syncing. Click Set up to finish.
Reconnect required — Understory has lost access to your Fortnox account, usually because the access was revoked in Fortnox. Click Reconnect and approve again.
Paused — syncing is switched off on purpose. Your entries are held until you resume.
How to pause or resume syncing
Pausing is useful if you're closing a financial year or want to stop entries reaching Fortnox for a while.
Go to Accounting → Settings
Click the ⋮ menu on the Fortnox row — the integration options open.
Select Pause sync — a message confirms Sync paused and a Paused label appears on the row.
To start again, open the same menu and select Resume sync.
How to disconnect Fortnox
Go to Accounting → Settings
Click the ⋮ menu on the Fortnox row
Select Disconnect — a confirmation asks whether you're sure.
Confirm — Understory stops sending transactions to Fortnox.
You can also remove the integration from the Fortnox setup page using Remove integration in the top right.
Disconnecting doesn't touch anything already posted in Fortnox — those vouchers stay exactly as they are.
Troubleshooting
1. "Failed to connect Fortnox. Please try again"
A few different things produce this message:
The approval was cancelled or declined in Fortnox — start again and approve both screens.
More than an hour passed between the two approval steps — start again and complete them in one sitting.
You approved with a different Understory account than the one you started from — make sure you're logged in to the right Understory account in the same browser.
Your Understory account is already connected to a different Fortnox company — disconnect the existing integration first, then connect the new one.
2. Fortnox won't let you approve the access
The approval creates a service account in Fortnox, which only a system administrator can authorise. Ask the person who administers your Fortnox account to run through the connection steps with you.
3. The row says "Reconnect required"
Someone has revoked Understory's access in Fortnox, or the authorisation has otherwise lapsed. Click Reconnect on the row and approve again — your account setup is kept, so you don't have to map your accounts a second time.
4. You can't find the Accounting page
The Accounting menu only appears if the Accounting product is active on your account and you have permission to see it. Contact us in the chat if you'd like it activated.
