Learn how to connect Planday to Understory, create staff shifts for your experiences, and manage shift profiles for streamlined scheduling.
The Planday integration allows you to automatically sync events from Understory with your Planday account. This enables you to easily create staff shifts for each event, saving time and improving scheduling accuracy. With shift profiles, you can standardize roles and quickly apply them across multiple experiences.
How to connect your Planday account
Requirements: Admin or manager permissions
Go to Home > Company Settings > Integrations — the Integrations tab opens
Find Planday and click Get started — the Planday setup window opens
Click Connect — you are redirected to connect your Planday account
Authorize the integration (if prompted) — Understory and Planday are now connected
How to add shifts for an experience
Requirements: Planday account connected, Admin or manager permissions
Go to Home > Company Settings > Integrations — the Integrations tab opens
Find Planday under Active integrations — the Planday integration page opens
Find the experience you want to add shifts to — shows current shift status
Click + Shift — the Add shifts window opens
Assign shift roles and quantities (e.g. 2 Mechanics, 1 Waiter)
Click Save — shifts are created in Planday for all future events of this experience
How to manage shift profiles
Requirements: Planday account connected, Admin or manager permissions
Go to Home > Company Settings > Integrations — the Integrations tab opens
Find Planday under Active integrations — the Planday integration page opens
Go to the Settings tab — shift profiles appear
To add a new profile: Click + Shift profile, enter role name, and save
To edit a profile: Click the three dots next to a profile and select Edit
To delete a profile: Click the three dots next to a profile and select Delete
How to disconnect your Planday account
Requirements: Planday account connected, Admin or manager permissions
Go to Home > Company Settings > Integrations — the Integrations tab opens
Find Planday under Active integrations — the Planday integration page opens
Go to the Settings tab — your connected account displays at the bottom
Click the three dots next to your account — the Disconnect option appears
Click Disconnect and confirm — your Planday account is removed and all associated data unlinked
Limitations & important details
Changes to shift profiles or event sync settings only affect events created after those changes. Past or existing events are not updated.
If an event's start or end time is updated in Understory, the corresponding shift times in Planday will be updated automatically.
If an event is deleted or cancelled in Understory, the associated shifts will also be deleted in Planday.
If you archive an experience in Understory, synchronization with Planday is disabled for that experience.
Shifts are managed for future events only. Any configuration changes do not apply retroactively.
How the Planday integration works
Once your Planday account is connected, any new events created in Understory can automatically produce matching staff shifts in Planday. You set which shift roles (like Mechanic, Cleaning, Waiter, or Chef) are needed for each experience, and Planday will keep them in sync. You can filter your experiences to see which already have shifts added and reuse your shift profiles to save time as your business grows.
