How to Check In Guests Without an Understory Account

The External Check-in feature lets you share check-in access with people who don't have an Understory account.

The External Check-in feature lets you share check-in access with people who don't have an Understory account. This is useful when you have volunteers, staff, or helpers who only need to check in guests — without access to the rest of your Understory account.


How to generate a check-in passcode

  1. Go to the event you want to share check-in access for - Event details page opens

  2. Click "View passcode" in the information section - A popup with the passcode appears

  3. Copy the 6-digit passcode and the link - Share these with your helper


How to check in guests using a passcode

Share these instructions with the person who will be checking in guests:

  1. Go to the check-in page: backoffice.understory.io/checkin

  2. Enter the 6-digit passcode - Check-in page opens

  3. Click "Submit code" - Guest list is displayed

  4. Check in guests - Use the guest list or QR scanner

The external check-in page works just like the regular check-in page. Your helper can:

  • Search for guests by name or email

  • Click "Check in all" to check in a whole booking

  • Expand bookings to check in individual tickets

  • Use "Scan tickets" to scan QR codes


Good to know

  • The passcode is event-specific — each event has its own unique passcode. The passcode will only be generated when viewed.

  • The passcode expires 24 hours after the event ends — it cannot be used after that

  • The link is always the same — the passcode determines which event the helper can access

  • Helpers can only check in guests — they cannot see or change anything else in your account
