Managing Guest Capacities in Understory Bookings and Events

Understory provides flexibility in managing guest capacities for your experiences and events. Understanding how these capacities are managed will help you efficiently plan and update your bookings.

Experience-Level and Event-Specific Settings

In Understory, experience-level settings and specific event instances operate independently:

  • Experience-Level Settings: These define the default capacity setting for your experience. Adjusting guest capacity here does not automatically update capacities for events that are already scheduled. For example, if you update the guest capacity of an experience, that change will apply only to events created after the modification.

  • Event-Specific Settings: Once an event is created, its capacity must be managed independently from the experience. To update capacity for a scheduled event, edit that specific event directly. Changes to the parent experience won't affect existing events or the calendar display.

Calendar and Event Updates

When managing your events, it is important to note:

  • If you modify the overall experience settings, those changes won’t retroactively update already-scheduled events. Be sure to edit any scheduled events individually to reflect desired updates.

System Memory of Prior Inputs

Understory’s system is designed to streamline future event scheduling by remembering the most recent guest capacity entered. For example:

  • If you set a specific capacity for an event, the system will use this value as the default when scheduling new dates for that same experience in the future.

This feature ensures you don’t have to repeatedly re-enter the same values, saving time and creating a consistent booking experience.
