Dynamically Add Rooms Together Event: Adding rooms together lets you combine multiple spaces under a single event, so you can easily manage large bookings or flexible capacities.

This is especially useful if your business has several rooms at one location and you want to offer guests access to any available room or split bookings between several spaces.


How to Dynamically Add Rooms Together for an Event

  1. Click Experiences in the navigation bar – See the list of all your experiences.

  2. Scroll to the Locations section – Find and click your chosen location.

  3. Check that you have added rooms under the location – Rooms must be created before they can be combined at the event level.

  4. Go to the event you want to set up – Make sure the event uses a location where the rooms are available.

  5. Click the Dates tab on the event – Shows all scheduled dates for the event.

  6. Click + New date or select an existing date – Opens the event date setup screen.

  7. Choose your Location – The list of rooms for that location appears.

  8. Click the Rooms field, then select rooms – Choose 'Any available room' or 'Randomly assign from rooms you select', then check all rooms you want to combine.

  9. Click Done and then Create/Save – Rooms are now dynamically grouped for event bookings.


How Combining Rooms for Events Works

Combining rooms at the event level lets you manage bookings across several spaces without creating separate events or manually splitting guests. When guests book your event, Understory can automatically assign them to any of the available rooms you’ve grouped, maximizing your space and flexibility. You can choose to have guests assigned randomly across selected rooms or let the system use any available room, making it easy to scale up for large events or optimize for smaller, overlapping groups.
