How to generate a Gift Cards Report

Requirements: You must have access to the "Grow" and "Insights" sections in your Understory dashboard.

  1. Click Grow in the navigation bar – Side menu expands

  2. Select Insights – Insights dashboard opens

  3. Click Reports (top right corner) – Reports list opens

  4. Click + Report – Generate report window appears

  5. Select Type and choose "Gift cards" – Report type is set

  6. Choose your Start date and End date – Select your reporting period

  7. Click Generate report – Report starts generating

  8. Wait for the "Ready" status – Report will show as Ready in the Reports list

  9. Click the download icon next to your new report – Excel file downloads to your device


🔍 What Does the Report Include?

Each row represents a single gift card issued through your system. Key columns include:

  • Gift Card Code
    A unique identifier used to track each individual card.

  • Created Date
    The date when the gift card was purchased and issued.

  • Gift Card Value
    The total value of the gift card at the time of purchase.

  • Remaining Balance
    The unredeemed amount still available for use.

  • Status
    Indicates whether the card is active (still has funds) or spent (fully used).

  • Currency
    The currency in which the gift card was issued, typically DKK or EUR.

  • Customer Email
    The email address of the person who bought or received the gift card.

  • Receipt URL
    A link to the payment receipt for bookkeeping or customer reference.


How the Gift Cards Report works

Once downloaded, your Gift Cards Report shows every gift card sold during your selected dates. You can use it to:

  • Review the status of every gift card (active or spent)

  • Track issued and remaining balances for financial reporting

  • Find unredeemed cards (potential future bookings or liabilities)

  • Contact customers who haven't yet redeemed their cards (using their email)
