How to generate a Bookings Report

generate Bookings Report: The Bookings Report helps you quickly see and analyze all bookings made during a specific period.

You can use it to track new bookings, breakdown ticket sales by type, and review details for completed events. Reports are generated as downloadable Excel files for easy access, analysis, and sharing.


How to generate a Bookings Report

Requirements: You must have access to the "Grow" section in Understory.

  1. Click “Grow” in the sidebar - Sidebar options expand

  2. Select “Insights - Insights page opens

  3. Click “Reports” in the top right - Reports screen appears

  4. Press the “+ Report” button - Generate report window pops up

  5. Set “Type” to “Bookings” - Bookings report option selected

  6. Choose your start and end date - Dates set for report period

  7. Click “Generate report” - Report begins processing

  8. Wait for report to say “Ready” - Report is available to download

  9. Click the download icon - Report downloads as an Excel file




🧾 Overview of the Tabs

1. Bookings – All Bookings in the Period

This tab shows each booking made during the selected period, including information about the experience, customer details, and payment status.

✅ Use it to:

  • Track new incoming bookings

  • Monitor booking statuses (e.g., active, moved)

  • See payment and booking times

2. Orderlines – Itemized Breakdown of Bookings

This tab breaks each booking into its individual components (called “order lines”), showing the quantity and price of each ticket type purchased.

✅ Use it to:

  • Understand how many units/tickets were sold

  • View VAT and total values

  • Reconcile booking IDs with receipt IDs

3. Bookings Completed – Past Events Held in the Period

This tab lists bookings where the event has taken place during the selected period, regardless of when it was booked.

✅ Use it to:

  • Track completed or hosted events

  • Check what revenue has been "realized"

  • Report on fulfilled experiences

4. Orderlines Completed – Itemized Breakdown of Completed Bookings

Like the previous tab, but with each line item detailed (ticket quantities, unit prices, etc.) for completed events.

✅ Use it to:

  • Analyze ticket types for completed events

  • Match up historical sales data

  • Export detailed data for financial reporting


What can I do with the Bookings Report?

The Bookings Report provides multiple tabs when opened in Excel. You get an overview of bookings made during your chosen timeframe, broken down by booking details, ticket types, and completed events. Use this to:

  • Track newly made bookings and their status

  • Break down numbers and revenue by ticket type

  • Check past events that were completed during the chosen period

  • Prepare for financial or sales reporting

  • Export detailed data for custom analysis
