Gift Card Management

Gift Card Management allows you to create, edit, and track digital gift cards directly in Understory. With this feature, you can sell gift cards, adjust their value, disable them, and even change their expiry dates for your customers. All actions are recorded in the gift card's activity log, making it easy to keep an overview and maintain transparency.


How to Enable Gift Card Purchases on Your Storefront

Requirements: Storefront admin access

  1. Click Storefront in the navigation bar – See your storefronts list

  2. Select your storefront and click Edit – Open storefront settings

  3. Go to Preferences and activate Gift Card Purchases – Make gift cards available for purchase

How to Create a Gift Card

  1. Go to Sales in the navigation bar – Sales overview appears

  2. Click the Gift Cards tab – View current gift cards

  3. Click the + Gift card button – Open create gift card window

  4. Fill out experience, amount, quantity & expiry date/note (optional) – Add all necessary details

  5. Click Next – Proceed

  6. Enter customer information – Add email, name, and other details

  7. Click Create gift card – Gift card is created and listed

How to Adjust Gift Card Value

  1. Go to Sales > Gift Cards – List of gift cards

  2. Select a gift card – View gift card details

  3. Click Modify value – Open edit value window

  4. Choose Reduce or Increase value – Select change type

  5. Enter amount and (optionally) a note – Specify the modification

  6. Click Modify – Value is updated

How to Change Gift Card Expiry Dates

  1. Go to Sales > Gift Cards – List of gift cards

  2. Select a gift card – Gift card detail window

  3. Click the three-dot menu (⋮) in the top right – More options

  4. Select Change expiry date – Open expiry change window

  5. Pick a new date and add a reason – Set new expiry and enter why

  6. Click Save changes – Expiry date is updated

Note:

  • You can extend expired gift cards; they become active again.

  • Every expiry change appears in the activity log for full traceability.

How to Disable or Refund a Gift Card

  1. Go to Sales > Gift Cards – List of gift cards

  2. Select a gift card – View details

  3. Click the three-dot menu (⋮) – Reveal more actions

  4. Choose Disable (or Refund) – Start disabling process

  5. Confirm the action in the popup – Gift card is disabled permanently and cannot be used; refund if needed


What Can I Do with Gift Card Management?

Gift Card Management gives you full flexibility over the gift cards you sell. You can:

  • Create and personalize gift cards for any experience

  • Update balances if a guest partially redeems their card or if you want to grant extra value

  • Change expiry dates for guest convenience—even after expiry, reactivating the card

  • Disable cards (with or without refunding)

  • Track all changes and actions in a clear activity log for security and transparency

This ensures you remain in complete control and can always meet your guests’ needs, while keeping a clear overview of every gift card’s history and current state.
