You can set up rooms (like kitchens, private spaces, or venues) for each location, and then connect these rooms to particular event dates to control bookings and avoid conflicts.
How to Add Rooms to a Location
Go to “Experiences” in the navigation bar – Experiences overview appears
Click “Locations” under Properties located at the bottom of the page – List of all your locations opens
Choose or create a location – Location details panel appears if any created
Pick Location and click “+ Add room” – Add room pop-up form appears
Fill in the form (Name, Capacity, Buffer time if needed) – Room is configured
Click “Add” – Room appears under the selected location

How to Assign Rooms to an Event Date
Requirements: Admin or manager account needed
Go to “Experiences” in the navigation bar – Experiences overview appears
Select the experience you want to update – List of events/dates appears
Create or click on an exiting event date you want to assign to a room – Event details open
Find the “Rooms” section and click the pencil icon – Room selection appears
Select your preferred room option:
“None”
“Any available room”
"Randomly assign from rooms you select"
Pick one or more from the location
Click “Done” – Room(s) selection is saved
Click “Save changes” on the event – Room(s) now assigned for that date
How Room Assignments Work
Rooms help you control where and how your events run at each location. After you assign rooms to locations and events, Understory automatically tracks booking overlaps, space usage, and helps you deliver smoother guest experiences.
