Adding dates to your experiences in Understory allows your guests to book specific sessions for each activity you offer. This makes your events available for reservations and helps manage bookings, guides, and capacity easily.
Getting started
Add a New Date to an Experience
Requirements: Admin or manager role, or permission: "Events: edit"
Go to Experiences (main navigation) – Opens your full list of experiences.
Find the experience you want to add a date to – Brings up the experience details.
In experiences overview, click [+ Date] – Opens the New Date window.
Set date and time, choose if it’s Public or Private – Defines when your event happens and its visibility (Public = visible in your storefront, Private = only bookable through manual bookings).
Fill in event details (location, repeating, language, guides, capacity, extra details as needed) – Customizes your date.
Click Create – The new event date is now active and bookable.
Find Current Dates of Experiences
Go to Experiences – Opens your Experiences list.
Click on an Experience – Opens its details view.
This gives you a simple overview with date, time, and guest availability for every date/session scheduled under that experience.
How Adding Dates Works
Adding dates (events) to an experience is a flexible way to schedule when each activity will run and allow guests to book those times. You can create single dates or set up repeating sessions (such as a weekly tour), with full control over location, guide, guest capacity, and event visibility. Adding more dates lets you accept more bookings and tailor sessions to guest needs—perfect for managing seasonal offerings or busy periods.
If you choose to make an event recurring, remember changes you make to the main recurring event will affect all its repeats. This streamlines updates but should be used with care to avoid unwanted changes to all repeat events.
