This article describes how to create an Experience in Understory

Creating an Experience in Understory lets you showcase and manage the activities you offer - like tours, classes, or workshops - all in one place. Experiences are the foundation for your business; they hold all the details your guests need and allow you to easily add new bookable dates as you grow.

How to create an Experience

Requirements: Admin or Manager role, or "Experience: Edit" permission

  1. Click Experiences in the navigation bar – Opens the Experiences list.

  2. Click the green "+ Experience" button in the top right – Starts a new Experience.

  3. Fill out Experience template - Experience title, Location, Event capacity & Tickets & Price are required.

  4. Click Preview to see how your Experience looks – Review everything before going live.

  5. Click Publish to activate your Experience – Makes your experience ready for bookings.

  6. Select “List in storefronts” in the pop-up – Ensures your Experience is visible to customers in your storefront (or leave unlisted for private offerings).


Experience template fields

  1. Choose the language for your Experience – Sets the language your guests will see.

    1. You can add languages in the Storefront menu

    2. NOTE - If you have already have made an experience before you add more languages, you need to amend the original text (Eg. delete a letter and write it again), before the new language is translated.

  2. Upload at least one photo or video – Shows guests what your experience looks like (recommended size: 952 × 680).

  3. Enter your Experience Title – This is the title guests will see in your storefront.

  4. Select or add a Location - Where the Experience will take place

  5. Select or add a location – Choose where your experience will take place.

  6. Set Event capacity – Limit the number of guests (or choose "No capacity limit"). Options:

    1. Individually (per person)

    2. Couples (2 persons)

    3. Groups (Define min. and max. size per group)

  7. Set how guests can book tickets – Individually, in couples, or groups/minimums if needed.

  8. (Optional) Set the latest time guests can book – Decide the cut-off for accepting bookings.

  9. Set up your tickets & price – Add ticket types, set prices. You can add VAT and add-ons if needed.

  10. (Optional) Add a description – Describe your experience for guests (required if using Storefront).

  11. (Optional) Add Category - Can be used to filter experiences in Storefront and for the embedded widget.

  12. (Optional) Add practical information - Will be added to the booking confirmation

  13. (Optional) Add What's included - Add a bulleted list over what is included in the Experience

  14. (Optional) Add a Resource - Limit your tickets by the available resources. This way you ensure you always have enough equipment for all participants.

  15. (Optional) Ask for guest info - Collect shoe sizes, allergies, etc., from your guests


How Experiences work

Creating an Experience in Understory is a simple way to organize your offerings, save time on setup, and ensure guests always have up-to-date information. You can edit the Experience at any time, add or change available dates (“Events”), and tailor details as your business evolves. Many fields are optional, so you only need to fill out basic info if using the widget. The more complete your experience details, the better it appears in your Storefront and booking links.
