How to create an Experience

This article describes how to create an Experience in Understory

Creating an Experience in Understory lets you showcase and manage the activities you offer - like tours, classes, or workshops - all in one place. Experiences are the foundation for your business; they hold all the details your guests need and allow you to easily add new bookable dates as you grow.

How to create an Experience

  1. Click Experiences in the navigation bar – Opens the Experiences list.

  2. Click the green "+ Experience" button in the top right – Starts a new Experience.

  3. Fill out Experience template - Describe your experience, add visuals, set booking rules, set prices, add availability and set visibility.

    • 💡Tip for visuals, media and pictures:
      Avoid adding text on pictures and visuals, as they will be displayed differently across devices (desktop, mobile, tablet) and formats (horizontal and vertical)

  4. Click Publish to activate your Experience – Makes your experience ready for bookings.


Experience template fields

  1. Details - Describe the experience to your guests. Start by entering the Experience name, uploading images, and adding more information (such as “What’s included” or “Practical information”).

  2. Booking - Set up rules for how your guests will book this experience, including booking questions for guests (e.g., allergies).

  3. Price - Set up tickets and prices for your experience.

  4. Availability - When can guests book your experience? Use “Add event” to set dates and times, and to enter Capacity, Location, Spoken languages, and any Rooms, Resources, or Guides needed.

  5. Publishing - Set visibility rules and publish your experience. Choose the Storefront where your experience will appear, set Experience visibility to either “Listed” or “Unlisted (link only)”, and add a Category to help guests find your experience easily.

  6. Publish experience - Review all fields and click “Publish experience” to make it available for booking.


Fixed section headings vs. your own text

Some section headings on the experience page — such as “What’s included” — are fixed system labels. The text you type in the editor fills the content of the section, but the heading itself is set automatically and follows your Storefront language setting. That’s why a heading you entered as “Vad ingår” can appear to guests as “Vad är inkluderat”.

To control how these labels read, set the correct language for your storefront under Storefront → Language (see How to Select the Language of Your Storefront). The heading text itself cannot be renamed to free text.


How Experiences work

Creating an Experience in Understory is a simple way to organize your offerings, save time on setup, and ensure guests always have up-to-date information. You can edit the Experience at any time, add or change available dates (“Events”), and tailor details as your business evolves. Many fields are optional, so you only need to fill out basic info if using the widget. The more complete your experience details, the better it appears in your Storefront and booking links.
