A general introduction to how Experiences and Events (Dates) work in Understory.

Experiences are the core activities you offer your guests, such as tours, classes, or workshops. In Understory, an "Experience" represents the template for these activities, where you define details like descriptions, images, capacity, languages, and more. "Events" (or "Dates") are the scheduled sessions for each Experience—these are the actual, bookable times guests can select and attend.


How to access and manage Experiences

Requirements:

  • Admin or manager role, or

  • "Experience: Edit" (to create and edit experiences)

  • "Event: Edit" (to add or create new dates for experiences)

  1. Click Experiences in the navigation bar - Views your Experiences list

  2. Select an Experience or create a new one - Opens Experience setup or edit page

  3. Add details and choose visibility (Listed/Unlisted) - Sets if customers see it in your storefront

  4. Add events/dates (sessions) to your Experience - Schedules actual bookable times for guests


How Experiences & Events work

Creating Experiences in Understory is the best way to organize, present, and grow your offerings. By setting up an Experience, you only need to enter your activity details once and can then quickly add new dates or times as your business grows. This saves time, ensures accuracy, and creates a smoother booking experience for both you and your guests. Whether you run guided tours, tastings, or classes, Experiences make it easy to keep everything clear and professional—helping you manage bookings, track capacity, and tailor each event to your needs.

Difference between Experiences and Event (Dates)

  • Experience: This is your main offering (e.g., "City Bike Tour"). It includes all descriptions, capacities, photos, and booking/visibility settings.

  • Event or Date: These are the individual sessions (e.g., "City Bike Tour on Sept 19th at 3pm"). You set as many dates/times as you want for each Experience. Guests book specific Events/Dates.

Difference between Listed vs. Unlisted Experiences:

  • Listed experiences show up for anyone in your storefront—guests can browse and book freely.

  • Unlisted experiences don’t appear in your storefront; bookings are only possible via a direct/shared link.

Difference between Public vs. Private Events (Dates):

  • Public events show in the storefront’s booking widget and allow online bookings from anyone who sees them.

  • Private events are hidden from public view and can only receive bookings via manual entry by you or your team.

  • Each Experience can have a mix of public and private Events/Dates.

Experience Types (Standard & Repeated):

  • These only describe how many sessions/events the Experience will have (e.g., one-off or recurring). The setup process and customer booking experience are the same.

Deleting Experiences or Events:

  • If you delete or archive an Experience, all associated Events/Dates and bookings are also deleted.
